What is Solaria by Sanctuary?

Solaria by Sanctuary provides corporate wellbeing services for organisations: practical, evidence-informed support for the mental health and wellbeing of employees, and guidance for the managers and HR teams who look after them.

Solaria was previously known as Solaria Wellbeing. It now operates under Sanctuary Clinics, a mental health clinic in Bukit Jalil, Kuala Lumpur, so every corporate programme is backed by a multidisciplinary clinical team.

At the centre of the service is an Employee Assistance Programme (EAP): confidential, short-term psychological support that employees can use for personal, emotional and work-related difficulties. Around it sit a hotline, structured wellbeing programmes, training and a digital platform, which can be combined into a single plan or arranged on their own.

Why workplace mental health matters

The World Health Organization estimates that around 15% of working-age adults have a mental disorder at any point in time, and that depression and anxiety cost the global economy about US$1 trillion a year, mostly through lost productivity. Its guidelines on mental health at work (2022) recommend action at several levels: changes at organisational level, training for managers and workers, and individual support. A well-designed EAP and wellbeing programme can contribute to each of these.

Our corporate wellbeing services

Each service can be arranged on its own or combined into one corporate plan. Most organisations start with an EAP and add the other elements that suit their workforce.

About the service

Service 1

Employee Assistance Programme (EAP)

Our Employee Assistance Programme is a confidential wellbeing service that helps employees with personal, emotional and work-related challenges, before they grow into bigger problems. Managers and HR can also receive consultation on supporting employees.

Two ways to run your EAP

  • On-site staffing model. Dedicated counsellors or mental health practitioners are based at your premises on an agreed schedule, so support is close at hand and employees can see a familiar face.
  • Customised EAP model. A flexible combination of on-site and virtual counselling, scheduled consultations, employee check-ins, group sessions and wellbeing initiatives. Staffing levels and delivery are shaped around your workforce, operational needs and budget.

What your EAP can include

  • Individual counselling and short-term psychological support
  • On-site employee check-ins and wellbeing consultations
  • Group support sessions and psychoeducation
  • Mental health screening and assessment, where appropriate
  • Workplace wellbeing activities and awareness programmes
  • Manager and HR consultations within the agreed scope
  • Crisis intervention and psychological first aid, where applicable
  • Referral coordination for additional or specialised care

Who it is for

Employees in any sector, including BPO, banking, finance, insurance, education, technology, healthcare and oil and gas, plus their managers and HR teams.

What it helps with

Workplace stress, personal difficulties, absenteeism and presenteeism, engagement, and early support before concerns escalate.

How it is delivered

Face to face, by video or telephone, or hybrid. Sessions take place at your premises, at our clinic or remotely.

How employees access it

Self-referral, appointment booking or referral through HR or a site wellness lead, depending on the model you choose.

Typical term

Usually one to two years. Session limits, practitioner coverage and activities are set in your agreement.

Service 2

EAP hotline services

The EAP hotline gives employees a confidential number to call when they need to talk to a qualified practitioner. It can run as a standalone service or as part of a wider Employee Assistance Programme, and it suits shift-based and geographically dispersed teams in particular.

  • Emotional support and brief counselling by telephone
  • Initial assessment of the concern and the support needed
  • Crisis screening and risk assessment within practitioner competence
  • Psychological first aid and de-escalation, where appropriate
  • Guidance on coping strategies and available resources
  • Referral to counselling, clinical services or emergency support when needed
  • Escalation in line with risk and emergency protocols agreed with you

Coverage can be office hours, extended hours or 24/7, depending on the package. Lines can be dedicated or shared, language needs are matched to your workforce where agreed, and eligibility can extend to dependants if your contract includes them. Video or face-to-face follow-up can be added.

The hotline does not replace emergency services or ongoing specialist treatment. Anyone in immediate danger should call 999 or go to the nearest emergency department.

Service 3

Corporate wellbeing programme

A structured, company-wide initiative that helps employers and employees stay healthy, manage stress, feel supported and perform at their best. It works best with visible commitment from your leadership as well as from our team, and usually runs for around a year so that changes have time to take hold.

1

Assess

A preliminary wellbeing assessment, such as a survey or health screening, shows what your employees need and links wellbeing goals to company goals.

2

Design

Using that data, we help you set priorities, design the programme and timeline, plan communication and agree measurable KPIs.

3

Launch

We work closely with your team to deliver every activity in line with the programme plan.

4

Evaluate

We report on participation and feedback. A post-programme assessment, matching the first one, usually shows what has changed.

Activities can include

  • General health screening and mental health screening
  • On-site talks and webinars
  • Educational, recreational and skill-based workshops
  • Training, some of which may be HRD Corp claimable
  • Fitness sessions
  • Health promotion materials and knowledge tests
  • Individual and group wellness challenges

Who delivers it

Depending on the programme, sessions are delivered by clinical psychologists and counsellors, nutritionists or dietitians, medical doctors and HRD-certified trainers. Other specialists, such as fitness trainers, financial advisers or physiotherapists, can be brought in where the programme calls for them. A project manager coordinates the whole programme.

Progress is tracked through attendance, session feedback and pre- and post-programme screening results.

Service 4

HRD Corp-claimable training programmes

Practical training for employees and leaders, delivered by trainers with extensive corporate training experience. Sessions use group discussion, case scenarios and role-play to work through real personal and workplace challenges, and participants leave with tools they can use straight away.

For Malaysian employers registered with HRD Corp, these programmes are designed to be claimable under the HRD Corp Claimable Courses scheme, subject to your organisation’s eligibility and grant approval.

Mental health and addiction

Three topics on understanding mental health and addiction in the workplace.

Communication

Three topics on communicating clearly and constructively at work.

Leadership

Three topics for managers and leaders supporting their teams.

Work-life balance and personal growth

Two topics on wellbeing, balance and personal development.

Format

  • Half-day: 4 hours of training, excluding breaks
  • Full-day: 7 hours of training, excluding breaks
  • Location: on-site at your office or an agreed venue
  • Group size: depends on the topic selected
  • Afterwards: a feedback report, plus certificates of attendance or completion for participants

How the claim process works

  1. You choose a topic and we propose a date and time.
  2. We send the course ID, course outline and quotation so you can apply for the training grant.
  3. You apply for the grant at least 14 days before the training date.
  4. Our trainer runs the session, the assessment and the feedback survey.
  5. We submit attendance on the HRD Corp portal.
  6. You receive the feedback report and certificates to share with participants.

Service 5

Digital wellbeing platform

Sentinel is an optional digital platform that supplements your Employee Assistance Programme. It brings support into one place for employees, clinicians and your organisation.

Features are configured to what you need and can include hotline access, secure messaging with a clinician, appointment booking, health promotion materials and journals.

The platform helps personalise each employee’s experience, guide them through their care and escalate to more support when needed. Clinician response times are set out in your service agreement.

  • Messaging with an EAP counsellor or psychologist
  • Booking with available clinicians
  • Hotline access in one place
  • Health promotion materials and journals
  • Utilisation reports and health trends based on available data

A corporate plan tailored to your organisation

No two workforces are the same. A 40-person firm in Kuala Lumpur and a regional business with shift workers in several countries need very different things, so we don’t sell fixed packages.

Instead, we talk through your situation and build a proposal that fits. Pricing is based on the agreed scope, such as staffing, service hours, coverage, number of employees, programme length and the services you choose, and is confirmed in your proposal.

What we build your plan around

  • The size of your organisation and the needs of your workforce
  • The countries where your employees are based
  • The services you want, from EAP to training
  • Delivery: on-site, virtual or hybrid, and the hours you need covered
  • Languages your employees prefer to use
  • Your organisational objectives and the KPIs you want to track
  • Contract length and budget

Support for employees in different countries

Many organisations have people outside Malaysia: regional offices, remote staff or teams that travel. Because counselling, the EAP hotline and the digital platform can all be delivered remotely, we can explore arrangements for employees in most countries.

What we can offer in each location depends on local regulations and licensing requirements, language needs, time zones and practical considerations. We confirm what is possible country by country rather than promising blanket coverage, and on-site services are arranged where practical.

If you have employees in more than one country, tell us where they are. We will look at your locations and requirements and put together a plan that works for your organisation.

Helpful details to share

  • The countries where your employees are based
  • Approximate headcount in each location
  • Languages employees would prefer for support
  • Whether you need on-site, virtual or hybrid support
  • Any local requirements your organisation has to meet

Ask about your locations

How to get started with an Employee Assistance Programme

Setting up corporate wellbeing support with us is straightforward, and there is no obligation until you sign an agreement.

1

Enquire

Tell us about your organisation, where your employees are based, roughly how many people you employ and which services interest you.

2

Discuss your needs

We talk through your workforce, locations, current challenges and objectives. For wellbeing programmes, this can include a preliminary assessment.

3

Receive a proposal

We send a tailored proposal and quotation setting out scope, delivery, staffing and reporting.

4

Confirm and schedule

Once you sign the service agreement, we agree how employees will access support, escalation arrangements and the schedule of activities.

5

Launch and review

Services begin as agreed, and we review progress with you through aggregated reports against the KPIs we set together.

Confidentiality and reporting

Employees use an EAP because they trust it. Individual conversations stay confidential, and the reports your organisation receives are aggregated so that no individual can be identified. Escalation, referral and emergency protocols are agreed with you before services begin, and all records are kept in secure case management systems.

Depending on the services you choose, reports can cover:

  • Service use, attendance and participation in wellbeing activities
  • Employee satisfaction and session feedback
  • Overall trends in the concerns employees bring, in aggregate
  • Pre- and post-assessment results, where appropriate
  • For the hotline: calls handled, referral and escalation rates and, where tracked, response times
  • Progress against the KPIs agreed in your plan

Built around you

On-site, virtual or hybrid; one service or several. Your plan reflects your workforce, not a template.

Corporate psychology and EAP: common questions

What is an Employee Assistance Programme (EAP)?

An Employee Assistance Programme (EAP) is a confidential service, paid for by an employer, that gives employees access to short-term psychological support for personal, emotional and work-related difficulties. It often also includes consultation for managers and HR, wellbeing activities and referral to further care when needed.

What does Solaria by Sanctuary offer?

Five services that can be combined: an Employee Assistance Programme (on-site or customised), EAP hotline services, a corporate wellbeing programme, HRD Corp-claimable training, and an optional digital wellbeing platform.

Which organisations can use Solaria by Sanctuary?

Organisations of any size, from SMEs to multinational corporations. We work across sectors including BPO, banking, finance, insurance, education, technology, healthcare and oil and gas.

Can you support employees in different countries?

We can explore arrangements for employees in most countries, particularly for virtual counselling, the hotline and the digital platform. Availability depends on local regulations, licensing, language needs and practical factors, so we confirm what is possible for each location when you enquire.

Can we create a corporate plan tailored to our organisation?

Yes. Every plan is built around your workforce, locations, objectives, preferred delivery and budget. We don’t sell fixed packages.

Is the EAP confidential for employees?

Yes. Individual sessions are confidential, and the reports your organisation receives are aggregated so individuals can’t be identified. Escalation and emergency protocols are agreed with you in advance.

Can employees’ family members use the service?

It can be arranged. For example, eligibility for the EAP hotline can extend to dependants or other designated groups if this is included in your contract.

Do you offer 24-hour support?

The EAP hotline can be set up for office hours, extended hours or 24/7, depending on the package you choose. It is not a replacement for emergency services: anyone in immediate danger should call 999 or go to the nearest emergency department.

Are your training programmes HRD Corp claimable?

Our training programmes are designed to be claimable under the HRD Corp Claimable Courses scheme for registered Malaysian employers, subject to eligibility and grant approval. We provide the course ID, outline and quotation you need to apply, at least 14 days before the training date.

How long does an EAP contract usually last?

EAP agreements typically run for one to two years and wellbeing programmes for around a year, though both can be customised. Hotline services and training can also be arranged for shorter periods or as one-off sessions.

How much does an EAP cost?

Costs depend on the scope you need, such as staffing, service hours, coverage, the number of employees, the services included and the contract length. We send a tailored proposal and quotation after we understand your requirements.
